Integrated document system for digitalizing the entire business process<\/strong><\/p>\n

The use of an ERP business information system does not necessarily mean that the company operates efficiently. With a comprehensive ERP system, processes are shortened and sped up, inventory is reduced, resource management is improved, and business transparency is enhanced. However, many daily processes are still in paper form and left to manual work. Due to unchanged approval and signing procedures, the number of printed and copied documents has not decreased. As a result, companies cannot achieve the expected productivity increase and the desired return on investment.<\/p>\n

Companies that still use paper documents in their internal and external operations cannot operate agilely and are exposed to the risk of falling behind in digitalization and losing competitiveness.<\/p>\n

Historically, ERP systems have not primarily dealt with work processes, but rather focused on data processing.<\/p>\n

Even the best business information systems today still do not enable the digitalization of work processes as they have very limited capabilities in terms of data capture, workflow management, and document archiving.<\/p>\n

Companies often use workarounds, such as sending electronic documents via email, but this does not eliminate manual data entry and does not enable organized, efficient, and controlled execution of processes.<\/p>\n

ERP system providers typically rely on external solutions, such as document systems. One of the biggest challenges in paperless business is the integration of the ERP system with the document system, which would allow easy processing of documents originating from or entered into the ERP system.<\/p>\n

ODiP for a paperless company<\/strong><\/p>\n

In search of a solution to help users of different ERP systems easily transition to paperless business, KOPA introduced a new generation of document solutions, KOPA ODiP, several years ago. This solution simplifies integration with ERP systems, enabling a completely paperless execution of all work procedures.<\/p>\n

ODiP allows users to easily digitize manual work procedures, such as approving purchase requests and other documents originating in the ERP system and requiring authorized approval.<\/p>\n

The integration enables two-way data exchange between the ERP and document system, ensuring process continuity and audit trail. The automatic data exchange eliminates human errors and further speeds up the execution of paperless procedures.<\/p>\n

Users can independently create new document types and workflows for them in ODiP, thereby digitizing other work procedures and documents generated within individual departments or circulating throughout the company.
